The market

Architecture is paid in stages and delayed by everyone else.

A project's programme depends on planning authorities, clients making decisions and other consultants delivering. The practice carries the cost of all that waiting, and fee stages only release when the work they cover is actually complete.

Fee stages are a cash flow structure

Work billed on completion of a RIBA stage means a project stalled at planning is a project not invoicing, however much time has gone into it. Practices that track stage progress and invoice promptly on completion suffer far less from that lag.

Scope creep arrives as small favours

An extra option drawn to help a client decide, a revision after the design was signed off, a meeting that was not in the appointment. Each is reasonable on its own; recorded properly, they become additional fees rather than absorbed hours.

Repeat clients are worth more than competitions

Developers, commercial clients and past domestic clients who extend again bring work without a pitch. Keeping in touch with them years after completion is low effort and high return, but it only happens if the practice keeps a record worth contacting.

The problem

What's holding most
architects back.

Enquiry to fee proposal conversion not tracked

Without a pipeline, architectural practices can't see which enquiries are at proposal stage, how many are outstanding or which have gone quiet without a follow-up.

Stage billing not triggered automatically

Architectural fee billing — concept, planning, technical, construction — is often delayed because it requires manual action at each stage completion.

Referral relationships not maintained systematically

Architects who receive referrals from developers, planning consultants and structural engineers but don't reciprocate and nurture those relationships see introductions slow down.

Project management scattered across email and spreadsheets

Tracking planning submissions, consultant appointments, client approvals and programme milestones across email and spreadsheets creates project risk.

FAQs

Questions about Fusion Flow
for architects.

Can it track projects across all RIBA stages?

Yes. We configure the RIBA stage structure as your project pipeline — with appropriate fee triggers and client communications at each stage.

Can it manage both residential and commercial projects?

Yes. We configure separate project types for residential, commercial and public sector work.

Can it track planning application status?

Yes. We configure planning application records with submission dates, reference numbers and decision status linked to each project.

How long does setup take?

Most architectural practices are live within 2 weeks including project and client data migration.

Can it track projects by work stage?

Yes. Projects move through the stages you define, with the fee for each stage, the current status and what is outstanding, so you can see the whole portfolio and which stages are ready to invoice.

Can it record additional work outside the agreed appointment?

Yes. Extra items are logged against the project with their own value and approval status, so variations are visible as they accumulate rather than being discovered when the fee account is reconciled at the end.

How much does Zoho One cost?

Zoho One bundles the full suite of 45+ integrated business apps for roughly £37–£45 per user per month, depending on your plan and headcount. That includes a professional mailbox on your own domain, so most businesses can drop their Google Workspace or Microsoft 365 licences altogether. We break the numbers down in our guide to Zoho One pricing in the UK, or talk to our Zoho team about the right plan.
