The market

In construction, the money is made or lost after the tender.

Winning work is the easy half. Margin erodes in variations nobody priced, subcontractors nobody chased and applications submitted late — and by the time the final account is drawn up, it is too late to recover.

Variations are where profit leaks

Instructions given verbally on site, extra work absorbed to keep a client happy, changes agreed but never priced — each is small and collectively they take the job's margin. Recording variations as they happen is the difference between a claim and a write-off.

Cash flow runs on the application cycle

Payments follow valuations, notices and retentions rather than completed work, so a missed date pushes money out by a full month. Contractors who track application dates and certification as a scheduled process are far less likely to be funding a client's project themselves.

Compliance evidence decides who gets invited back

Pre-qualification, RAMS, competence records, insurance and safety documentation are checked before a tender is even considered. Being able to produce them quickly, in a current version, is what keeps a contractor on approved lists rather than scrambling to rebuild a pack each time.

The problem

What's holding most
construction companies back.

Estimates in spreadsheets with no version control

Construction estimates go through several revisions before a client signs. Without version control nobody is certain which figure was agreed, and the margin quietly disappears in the gap between the two.

Variations agreed on site and never billed

Extra works agreed verbally on site are the single most common source of lost margin in construction. Logging variations against the job as they happen is what gets them into the next valuation.

Subcontractor records and CIS spread across systems

Subcontractor verification, insurance expiry dates and CIS deduction rates held in separate spreadsheets create a month-end scramble and real compliance risk.

No single view of programme across live projects

Running several projects at once without a central programme means clashing labour, late material calls and clients ringing the office for dates nobody can confirm.

FAQs

Questions about Fusion Flow
for construction companies.

Can it handle CIS deductions and retentions?

Yes. We configure CIS deduction rates against each subcontractor record and set up retention handling on interim valuations and final accounts in Zoho Books, so the monthly return is not a manual rebuild.

Can it run both domestic and commercial projects?

Yes. We configure separate pipelines for domestic work such as extensions and renovations and for commercial contracts and fit-outs, each with its own stages and paperwork.

Can it track variations and interim valuations?

Yes. Variations are logged against the project as they are agreed and pulled into the next valuation — for most builders this is the single biggest recovery of margin the system delivers.

Can it store subcontractor insurance and accreditation dates?

Yes. Public liability, employer's liability, CSCS cards and scheme registrations are held against each subcontractor with reminders before anything lapses.

Does it work on site as well as in the office?

Yes. Mobile access is included, so site managers can add photos, log variations and update stages from the job rather than waiting to get back to a laptop.

How long does setup take?

Most construction businesses are live within 2–3 weeks, including client and subcontractor data migration, live project setup and training.

Can it track variations and their effect on the project value?

Yes. Variations are recorded against the project with their own value and approval status, so the current contract sum is always visible rather than being reconstructed from emails when the final account is prepared.

Can it manage subcontractor records and their documentation?

Yes. Subcontractors are held as accounts with insurance expiry dates, competence records and rates, and you can be reminded before a certificate lapses rather than discovering it when someone arrives on site.

How much does Zoho One cost?

Zoho One bundles the full suite of 45+ integrated business apps for roughly £37–£45 per user per month, depending on your plan and headcount. That includes a professional mailbox on your own domain, so most businesses can drop their Google Workspace or Microsoft 365 licences altogether. We break the numbers down in our guide to Zoho One pricing in the UK, or talk to our Zoho team about the right plan.

Every variation captured. Every valuation out on time.
